
FactorCloud is a specialized cloud-based software platform designed specifically for invoice factoring companies to manage their operations more efficiently. It helps factoring businesses automate invoice processing, client management, and schedule creation through advanced OCR technology and a user-friendly portal system
The UX approach focused on creating an intuitive document organisation system that combines user friendly and high functionality with smart features, addressing the core user need of efficiently organising documents.
The primary challenge in this module was designing an efficient layout for users who process large volumes of diverse document types, such as invoices, purchase orders, rate confirmations, and bills of lading. With high numbers of documents and groups, keeping the screen uncluttered was essential to avoid overwhelming users and to help them stay aware of their tasks without confusion.
The existing system lacked effective tools for managing complex document relationships and grouping functionality, resulting in increased processing times and higher error rates.
The new interface needed to provide comprehensive document visibility, enabling users to create, edit, and manage multiple document groups. It also required a clean, intuitive layout to help users track which documents belong to each group and see how many documents remain ungrouped, all while keeping the interface as clutter-free as possible.

Instead of starting with interviews, we conducted initial research and quickly created draft mockups to test with a few users. Given our limited time, we used a design process that suited our progress.

Pain points from the trail mocks
For versions A, B, and C, users disliked the tabbed group layout, as they couldn’t see what documents or types were in each group.
In version D, we placed ungrouped documents in the left panel, but users noted that with many documents, scrolling through each one became tedious.
Users found it difficult to differentiate document types and locate document names.
Additional feedback highlighted the need for filtering options to sort specific document types more easily.
Some users requested a view that displays different groups simultaneously, as switching between tabs made it difficult to analyse which documents belonged to each group.

If you’d like to take a quick look at the FactorCloud redesign, you’ll see major improvements for the product. As the design lead, I’m excited to have worked with the design and development teams to achieve this in such a short timeframe.

Update New View
In this updated document view, users can clearly see all the uploaded documents and their types. We’ve added color variations for the badges corresponding to each type, allowing users to easily identify each document classification. More information on how we solved pain points, user behaviour and UI patterns is mentioned below.
We added a filter functionality that allows users to easily select their preferred document types and quickly create groups. For example, if a user wants to group only the invoices type from the ungrouped documents, they can simply filter by "invoice" and select the parent checkbox to quickly choose the relevant documents.
When selecting documents, it should be visibly clear which documents and document types are chosen. Once users select the documents, the "Create Group" action will be activated, allowing them to create a new group with all the selected pages.
Our primary feedback and challenge is how to display a large number of documents and groups in a single layout. To address this, we introduced an accordion feature that allows users to expand or collapse views based on their preferences. Users can expand each group to facilitate the grouping process while scrolling, or they can collapse any unwanted groups.
This feature allows users to move multiple documents across groups. We leveraged the selection functionality used for creating groups, which also works for moving documents.
The rename functionality should be straightforward, similar to what users encounter in other products. Users should simply click on the name to access an editable field, allowing them to easily enter information.
Even with the accordion behavior, introducing resize controls offers additional advantages to users, allowing them to easily adjust the height of their groups.
Some users prefer drag-and-drop functionality, as it provides a more visually satisfying and useful way to quickly organize and move documents.
When users hover over a document, a checkbox appears to allow them to select the page. Clicking on the document opens a quick preview in a blade or drawer.

Once all the documents are grouped, users can see a neat and organized grouping interface that provides better visual clarity regarding which documents are in each group and how many groups there are. They can then switch to the review tab to submit the documents.
